The mission of Ireland's Department of Foreign Affairs and Trade is to promote and protect abroad the values, interests and economic well-being of Ireland and its people. We do this under the political direction of our Ministers, through our staff at home and through our Embassy network abroad.

The Embassy of Ireland, Berlin, is seeking to recruit a resourceful, proactive and flexible individual to fill the position of Administrative Assistant in the Embassy. The Administrative Assistant will provide full administrative support to the Agriculture Unit and to the finance and economic policy-related work of the Embassy, with duties split evenly across these two functions.

Role and Responsibilities

The precise range of duties will vary over time according to the needs of the Embassy, but will include the following:

  • Identification of key contacts;
  • Scheduling of meetings and travel arrangements;
  • Translation and informal interpretation;
  • Event and visit management;
  • Research and analysis on economic, finance and agriculture themes;
  • Regular drafting of briefing material and reports;
  • Attendance at meetings, note-taking and reporting;
  • General administrative support;
  • Other duties as required from time to time.

Essential Requirements candidates must be able to demonstrate:

  • Candidates must have a third level qualification in a relevant area or a degree of work experience in a relevant area;
  • Work based examples of:
    • Using excellent teamwork and communication skills;
    • Demonstrating your aptitude for the management and delivery of results;
    • Analysis and decision making;
    • Specialist knowledge, expertise and self-development; and
    • Drive and commitment.
  • Excellent written and oral communication skills in German and English. The candidate should be a native speaker of German or English and have a minimum C1 in the other language (a language test may be included as part of the shortlisting process);
  • Working knowledge of Microsoft Office Suite (Outlook, Word, Excel); and
  • The permanent legal right to reside and work in Germany.

Desirable Skills and Experience:

  • A good understanding of the role of the Department of Foreign Affairs and Trade and the Embassy; and
  • Previous experience in a diplomatic mission.

Terms and conditions of employment:

  • The successful candidates will be hired on a one-year fixed-term contractual basis and will be based at the Embassy of Ireland to Germany in Berlin;
  • The successful candidate will work on a full-time basis, 35 hours per week, Monday to Friday;
  • The annual leave entitlement is 26 days per annum;
  • The annual salary for the position is €48,138.46 per annum, paid locally on a monthly basis; an incremental pay-scale applies. Salaries are paid direct to a bank account, therefore, the successful candidate must have a bank account;
  • There will be a probationary period of 6 months; and
  • The position will also involve undertaking occasional out of hours consular duty cover (up to four times a year).

Selection Process:

  • Depending on the number of applications received, a short-listing of candidates to be called for a competency-based interview may be undertaken based on the Essential Requirements outlined above;
  • It is planned that interviews will be held in July;
  • A written test in English and German may be included as part of the recruitment process;
  • A second interview may be included in the recruitment process; and
  • A panel may be set up depending on the calibre of candidates.

Security Clearance for Local Staff:

Police security clearance will be sought in respect of individuals who come under consideration for appointment. Enquiries may also be made with the police force of any country in which the applicant under consideration for appointment resided. If unsuccessful, this information will be destroyed. If the applicant subsequently comes under consideration for another position, they will be required to supply this information again.
